How we use your information
We are collecting your personal information to allow us to assess your request to conduct research in educational establishments within Aberdeen City Council. The personal information that you provide on this form including the associated attachments will be used by Aberdeen City Council to ensure that everyone who is involved in the research is deemed to be suitable to carry out the research, and that the research meets ethical and methodological norms. Your name and contact details will be shared with other departments within Aberdeen City Council to facilitate your application for research approval and the research project itself.
Your Protecting Vulnerable Groups (PVG) membership information will only be used for the purpose of checking that you have a current, valid membership.
How long we keep your information for
If your application is unsuccessful, your information including your application and supporting documentation will be kept for 1 year. If your application is successful, your information including your application and supporting documentation will be kept for 3 years.
Your rights
You’ve got legal rights about the way the Council handles and uses your data, including the right to ask for a copy of it, and to ask us to stop doing something with your data. See more information about all of your rights.

You also have the right to make a complaint to the Information Commissioner’s Office. They are the body responsible for making sure organisations like the Council handle your data lawfully.
Our legal basis
Aberdeen City Council is the Data Controller for this information. Wherever the Council processes your data we need to tell you our legal basis in data protection law for doing so. The Council understands our legal basis for processing your data as 6(1)(e) of the General Data Protection Regulation. This is because facilitating educational research is part of our public task to advance wellbeing under the Local Government in Scotland Act 2003.
In carrying out this function, the Council is also likely to process personal data relating to criminal record information. Under Article 10 of the General Data Protection Regulation this must be authorised by law. The Council understands our legal authorisation for this to be Paragraph 18 of Schedule 1 to the Data Protection Act 2018, because this processing is necessary for the safeguarding of children.
