Aberdeen City Council is delivering the Energy Pilot in collaboration with SCARF. We are committed to ensuring your privacy is protected. This privacy notice explains how we use the personal data we collect about you when you apply for the Energy Pilot Scheme funded by the UK Shared Prosperity Fund.
SCARF is the data controller responsible for the initial stages of processing applications, assessing eligibility, and recommending successful applicants to us.
Aberdeen City Council is the data controller responsible for the final stages of the grant process, including issuing grant agreements and making payments.
How we use your information
SCARF will collect and initially assess your application to determine eligibility for the Energy Pilot Scheme. They will collect:
- Applicant details: Business name, business address, legal status, contact details, and business bank details.
- Supporting documentation: Business registration details, proof of identity, lease or property ownership information, and detailed quotes for the proposed energy efficiency works.
If your application is successful, SCARF will pass your details to us to finalise the grant agreement and process payment. That will include:
- Business name, business address, contact details, email address and business bank details.
The information which you provide for use on the grant funding application form will be used by Aberdeen City Council for the following purposes:
- To make appropriate grant awards in line with the supported interventions, as defined by the UK Shared Prosperity Fund.
- To communicate with applicants.
- To administer funding to successful applicants as per grant conditions.
In addition to the information collected via the application, we will also process and store:
- Any grant offer letters relating to applications submitted.
- Copies of grant agreements, including bank details, for successful awards.
We will perform necessary checks internally, such as verifying there are no outstanding business rates or rent debts, before issuing a grant.
Legal basis for processing
Aberdeen City Council is the Data Controller for this information. Whenever we process personal data, we must have a legal basis in data protection law for doing so. The Council understands its legal basis for this processing as being part of our public task.
Data sharing
Data is shared between SCARF and the Council solely for the purposes of administering the Energy Pilot Scheme. Your data will not be shared with any other external parties unless required by law.
The Council is required to report back to the UK Government on the outcomes of the Energy Pilot Scheme. However, this reporting is done at a high level, and no personal data is shared.
How long we keep information for
The information you provide on the grant application form will be kept for a maximum of six years in line with Aberdeen City Council’s Records Retention and Disposal Schedule.
Your rights
You have rights in relation to your data, including the right to ask for a copy of it. You also have the right to make a complaint to the Information Commissioner’s Office. They are the body responsible for making sure organisations like the Council handles your data properly.
