How we use your information
Aberdeen City Council is operating a booking process across a number of venues as part of our Summer in the City programme. As part of this service we will collect your name, address, phone number, email, and details about the child attending the activity. We may also ask further details about your child if they are attending one of our targeted activities, aimed at specific groups of children. This information about your booking will be stored and will be used to confirm your booking to a provider and to send any information to you about the activity.
We may take photos at some of our events to use in promotional materials for future programmes and on our website. We will let you know if any photos are due to be taken at an activity and clearly displayed signs will indicate if photography is due to take place. We will ask for consent to take photos at the point of booking.
We will share your information with the services operating the activities on our behalf.
We will share anonymous information about the take up of activities and the groups of children who attend with the Scottish Government, who have provided funding for the Council to run the activities.
How long we keep your information for
We will keep the booking information for 5 years from the date of the activity. We may dispose of some information which it is not necessary to keep once it has been used for reporting purposes.
Your rights
You have rights in relation to your data, including the right to ask for a copy of it. You also have the right to make a complaint to the Information Commissioner’s Office. They are the body responsible for making sure organisations like the Council handle your data properly.
Our legal basis
Wherever the Council processes personal data, we need to make sure we have a legal basis for doing so in data protection law. The Council understands our legal basis for processing personal data in bookings for the Summer of Play Programme as public task. This is because the activities are provided as part of the Council fulfilling its public task to administer the programme to benefit children aged 5-14 from low-income households who fall within the priority groups identified by the Scottish Government.
In offering this service the Council will be handling special category data about the health needs of children. This is because this information may be necessary to provide health or social care treatment or services. It is also necessary in the interests of children participating in the activities that proportionate information about their health is passed to activity providers so that adaptations may be made depending on a child’s individual needs.
