
The Collection Hire Scheme gives corporate and private institutions the opportunity to borrow objects from our collection.
Our hire fees include curatorial expertise in the selection of works of art, an installation and de-installation service, transport. The borrower is required to cover the hire under their insurance. We will provide current valuations at the time of selection.

How it works
Once you have contacted us we will ask for more information about where you might want to display some of the city’s collection, what type of building it is and what sort of objects you are really interested in.
We will then arrange for one of our team of experts to come and visit you at your building to look at the space. They will consider things like direct sunlight, circulation space, amount of people using the space, nearby sources of heat or moisture, whether you have a display cabinet or a suitable wall. They will also discuss you likes and dislikes.
Our expert team will then be able to send you a list of options, with images and values for you to select from.
It is important to take notice of the value of the work you select as you will be required to cover insurance whilst it is on your premises.
Once a selection is made, we will arrange for the object to be brought to your building and we will install it. This may mean drilling into the wall to allow a painting to be securely hung. We will discuss all of that with you and any building manager in advance.
Delivery and installation will be undertaken by our team. Once positioned, the objects should not be moved or removed except by members of Aberdeen Art Gallery and Museums.
The objects on hire will be inspected annually by a member of our expert team to ensure they are still in the best condition.
The hire fee (subject to annual review) it payable annually in advance upon receipt of an invoice from Aberdeen Art Gallery and Museums. The fee is non-refundable.
Our typical loan period is one year and after this period, the loan may be extended or the works on loan changed at the borrower's request.
If the period is shorter than one year, then the full year’s hire fee will be charged for that period to cover staff time and resources. Aberdeen Art Gallery and Museums reserves the right to withdraw a work from loan with good notice, in which case an alternative will be offered at no additional charge.
Please note:
Some objects may not be suitable for display in certain environments.
We are unable to lend objects to private homes.

Terms and conditions:
Fees | 1. | The minimum contract period of any hire under the scheme is one year. A Hirer returning works within the contract period will not receive a refund. Fees payable within 30 days of receipt of invoice. |
2. | Where applicable, the hire fee in respect of each item will be paid annually in advance on receipt of an invoice from the Service. The fee is non-refundable. The level of fees is determined by the Service and may be subject to change. Notice of changes will be given. | |
3. | New hires are subject to an administration fee. The level of fees is determined by the Service and may be subject to change. Notice of changes will be given. The administration fee will apply in the following circumstances only: | |

The administration fee will not apply to the removal or re-positioning of items for any other purpose (such as points 6 and 16 below). | ||
Installation | 4. | Delivery and installation will be undertaken by the Service's staff. |
5. | Once in position the works must not be handled or moved except by members of staff of the Service. | |
6. | Should the Hirer require an item to be moved for any reason, e.g. during redecoration, the Service must be contacted to remove and/or reposition the objects. At least 30 days’ notice of such a requirement must be given. | |
7. | The items will be positioned as far as possible in accordance with Hirer’s wishes, but must take into account the environmental and security conditions required for the item. These requirements should have been discussed on an initial site visit. | |
8. | Any changes which may affect these conditions e.g. re-positioning of radiators, or installation of air conditioning, must be reported to the Service in order that the impact on the works can be assessed. | |
Annual visit | 9. | Objects subject to the hire agreement will be inspected on-site annually by the Service. A minimum of 7 days’ notice will be given. |
Contact | 10. | Should the authorised contact person change, the details of the new contact must be notified to the Service. |
Access | 11. | Occasionally the Service may wish to permit persons undertaking research access to items on loan under the Scheme. Under the terms of this agreement, the Hirer agrees to allowing such access. A minimum of 7 days’ notice will be given. |
Insurance | 12. | A value will be provided for insurance purposes. It is the sole responsibility of the Hirer to cover any loss of, or damage to the object(s) when no Service staff are present. |
13. | The object(s) will be fully insured by the Service during transport to and from the Hirer’s premises when managed by the Service, and during Service staff installation and handling. | |
14. | In the event of a work being damaged, the Service must be informed at once. Repairs must not be attempted. | |
Termination | 15. | The Service may terminate the hire contract with 30 days’ notice to the Hirer. In this case a pro-rata refund would be applied. |
16. | The Service reserves the right to withdraw a work from the Hirer’s premises e.g. for photography or for an exhibition, with 30 days’ notice to the Hirer. In such a case an alternative will be offered at no additional charge. |
